How we turned a Sydney transport company's overflowing inboxes into an operations board that reads every email, bins the junk, and drafts the jobs, quotes and invoices, ready for one click to confirm.

The problem: a business buried in its own inbox

A family-run transport company in Sydney ran its entire operation through email. Job requests from customers, quote enquiries, fuel and toll invoices, subcontractor bills, delivery paperwork — all of it landed in shared inboxes watched by a handful of very busy people.

The failure mode was always the same: an email gets read on a phone between jobs, mentally filed as "deal with later", and buried by lunchtime. Quotes went unanswered, supplier invoices were found at month end, and the answer to "what's on today?" lived in three people's heads.

What we built: an inbox that sorts itself

We built them an operations board fed directly by their mailboxes. Every two minutes, AI reads the incoming email and decides what each message actually is: a job request, a quote enquiry, a supplier invoice, a subcontractor bill, delivery paperwork, or noise.

Marketing spam, payment confirmations and automated notifications are filtered out before anyone sees them. Real work becomes a pre-filled draft — a job card with the pickup details and PO number already extracted, a quote ready to price, an invoice logged against the right supplier. A person clicks once to confirm, and the item joins a drag-and-drop job board and calendar the whole team can see.

Nothing waits for someone to get back to a desk, and nothing gets buried under the next twenty emails.

Details extracted automatically

PO numbers, addresses and job details are pulled from the email text before a human ever touches it.

Junk filtered before it wastes time

On the first live run, 80 emails came in and 43 were correctly binned as noise. The other 37 became actionable drafts.

The result

On its first day live, the system processed 80 incoming emails: more than half were automatically identified as noise and filtered, and the rest were turned into pre-filled drafts waiting for a one-click confirmation. The daily triage of the inbox — reading, deciding, retyping — stopped being a job.

Just as importantly, nothing goes missing anymore. Every quote enquiry gets seen, every supplier invoice is logged the day it arrives, and anyone in the office can answer "what's on today?" by looking at one screen.
